Exporting data from and importing data to Sage CRM is more intuitive and efficient in versions 7.0 and up.
By default, all system users are able to export data from Sage CRM, and a popular place from which to launch an export is the Search screen. However, Sage CRM enables exports from multiple parts of the system.
When in Search, highlight dropdown menu items to populate the columns most helpful to your export task, then click Find at the right-hand side of the screen. The body of the page will fill with columns specified by your menu selections—the same columns that will appear once you export the data as an Excel .xls, Excel .csv or regular .csv format.
Sales operations managers may also opt to Save Search to create an easily accessible history. Today’s data then may be compared to other snapshots in time.
If you need a lot more data, though, the search screen is not the place to export from; it has limits. You will get more detail in the Reports section, through several out-of-the-box reports.
Of course you may build your own reports or tweak the canned ones by adding to Report Contents the columns you want to see upon exporting data. Just contact your success coach for a one-on-one deep dive on reports or creating more intricate, detailed data exports.
One hundred and eighty degrees different from the export rule is the Sage CRM default for data imports. By design, only system administrators can import content—in any of a number of file formats–to Sage CRM. That is not a fixed rule. Import rights may be granted to individual users, at relevant security levels, by the administrator. Users see only the capabilities they have—export, import, etc.
Actual data imports fall into one of three categories in Sage CRM: companies, individuals—that is contacts nor related to a company, and leads. The third option is helpful in keeping unqualified leads out of your main pipeline. Think trade show lists. You hardly want to intermingle the names you collect there with your existing leads and certainly don’t want to risk overwriting the Chief Sales Officer from XYZ Co. with Junior Sales Associate from the same just because Junior visited your booth on the show floor.
When you select one of the three, Sage CRM will show past uploads in that category. This gives you the opportunity to merge imported information with historical records (Select From Existing Mappings) instead of creating a new data file.
