How to Create an Email Notification Workflow in Microsoft Dynamics 365

Set it up in just 3 easy steps

Email notification is very common in workflows. These notification workflows allow updates to be sent to individuals or groups in various scenarios, such as when a case or opportunity has been logged.

Prior to setting up the Email Notifications in workflows, make sure that users are able to send emails out of Microsoft Dynamics 365.

Step 1 – Creating the Workflow

First we need to have a workflow setup. Go to Settings > Process > New.

Step 2 – Adding a ‘Send Email’ Step

  • Click Add Step and Send Email.
  • Give a Name to the Send Email action.
  • You can either choose to create a New Email Message or use an existing Email Template.

Step 3 – Customizing the Email

  • Click Properties and you will be presented with the New Email screen.
  • The email can be customized on this screen.
  • If you need to add fields, use the Form Assistant on the right side of the window.

Email notifications can be used for various actions such as:

  • Updating customers when cases are updated
  • Requesting information
  • Updating users when records are changed
  • And many more…
